Information we collect
When you contact us or arrange a booking, we may collect your name, email address, telephone number, organisation, event date, event location, attraction preferences and information you include in your messages.
We also keep relevant booking correspondence, invoices and payment records. Card payments are processed through SumUp.
For relevant marketing enquiries, we may obtain organisers’ names, roles and business contact details from publicly available websites, business directories and event listings.
Our website also collects technical information through its hosting and analytics services, as explained below.
How we use your information
We use personal information to:
• Respond to enquiries and prepare quotations.
• Arrange bookings and provide our attractions.
• Communicate about access, setup and event arrangements.
• Process payments and maintain business records.
• Send relevant marketing communications where permitted.
• Handle complaints, insurance matters or legal claims.
Our legal bases
When you enquire about or book services for yourself, we process relevant information to take steps towards or fulfil a contract.
When you act on behalf of an organisation, we generally rely on our legitimate interests in responding to business enquiries and providing our services.
We rely on legal obligations to maintain required records, including accounting records. We also rely on legitimate interests to administer and protect our business and handle complaints or claims.
Where processing requires consent, we ask for it and you may withdraw it at any time.
Marketing communications
We may contact organisations about attractions relevant to their events, using business contact details obtained from public sources.
Where permitted, we rely on our legitimate interests in promoting our services, taking account of recipients’ privacy and reasonable expectations. Public availability of an email address does not itself constitute consent.
For individuals, sole traders and ordinary partnerships, we obtain consent before sending unsolicited marketing emails unless a valid legal exception applies.
You have the right to object to direct marketing at any time. Reply to a marketing email or contact info@thamesvalleyattractions.co.uk and we will stop using your information for that purpose.
Who receives your information
We use services necessary to operate our business, including:
• IONOS for website hosting and SiteAnalytics.
• SumUp for card-payment processing.
• Email and business administration providers.
We share only information relevant to the services being provided. We may also disclose relevant information to professional advisers, insurers or public authorities where necessary for legal obligations, advice, complaints or claims.
Card payments
SumUp processes card payments and acts as an independent data controller for payment-related personal information. We may receive transaction information needed to confirm payments, manage refunds and maintain accounts.

Website analytics
We use IONOS SiteAnalytics to understand website usage and improve its performance.
According to IONOS’s service information, SiteAnalytics uses tracking pixels or server-side logs rather than cookies. Information collected includes:
• The referring website.
• Pages or files requested.
• Browser type and version.
• Operating system and device type.
• Time of access.
• An anonymised IP address used to determine approximate location.
The service’s stated legal basis is consent. Analytics data is processed in Germany and the European Union, retained for eight weeks and then automatically deleted. IONOS states that this service does not transfer that data outside the EU.
IONOS’s privacy information is available at:
https://www.ionos.co.uk/terms-gtc/privacy-policy/
Cookies and privacy choices
Where website features require consent, our privacy banner provides information and choices about those services. You can accept or reject optional services using the available controls.
Accepting website cookies or submitting an enquiry does not automatically subscribe you to marketing emails.
International processing
IONOS SiteAnalytics processes its data within Germany and the European Union.
SumUp states that it stores European business data within the European Economic Area, but may transfer information outside the UK or EEA to group companies, payment-processing participants and service providers. SumUp describes its protections and contractual arrangements in its privacy policy.
Contact us if you would like further information about international processing associated with the services we use.
How long we keep information
We keep personal information only for as long as needed to respond to enquiries, manage bookings and meet accounting, legal or insurance requirements.
We review records periodically and securely delete information that is no longer needed. Relevant records may be retained longer where needed to resolve a complaint or claim.
If you opt out of marketing, we retain only the details needed to ensure we do not contact you again.
IONOS SiteAnalytics data is retained for eight weeks. SumUp applies its own retention periods as described in its privacy policy.
Your rights
Depending on the circumstances, you have the right to:
• Request access to your personal information.
• Ask us to correct inaccurate information.
• Request deletion of your information.
• Ask us to restrict its use.
• Object to processing based on legitimate interests.
• Receive a portable copy of information where applicable.
• Withdraw consent where processing relies on it.
These rights may be subject to legal limitations. Withdrawing consent does not affect the lawfulness of processing before withdrawal.
Contact info@thamesvalleyattractions.co.uk to make a request.
Providing your information
Providing enquiry information is voluntary. However, without relevant contact and event details, we may be unable to answer your enquiry, prepare a quotation or arrange a booking.
Complaints
Please contact us if you have concerns about how we use your personal information.
You also have the right to complain to the Information Commissioner’s Office:
